Short version: we collect what we need to do the work, we don't sell it, we don't use it to train models, and you can ask us to delete it. If we've emailed you out of the blue, you can stop it with one reply.
What we collect
When you book a call: your name, email, company, phone, industry and team size, your annual revenue if you choose to give it, and anything you tell us about where your time goes. This is passed to Calendly so it's attached to your booking.
When you fill in a pre-call survey: your answers, plus your contact details.
When you pay: invoices and billing are handled by Whop, our payment provider, or another method we've agreed. We never see your card number.
During the work: information about how your business runs, such as processes, volumes, costs and the tools you use, and sometimes access to those tools. We ask only for what a specific piece of work needs.
If we contact you about our services: your name, job title, company, work email, business phone, and basic facts about the company such as its website, location, size and industry. We get these from public sources (company websites, business listings and directories), from LinkedIn, and from business contact data providers, including our outreach platform. We may also note something public that made us think we could help, such as a job post or how your website performs in our free check. We keep a record of what we sent and any reply. Our outreach email comes from tryexecutiveai.com, a separate domain we use only for outreach so our main inbox stays reliable. It's still us.
On the website: no analytics and no advertising pixels. If you arrive from a link in one of our emails or messages, the link carries a short tag (for example "email" and a campaign name). If you then book a call, that tag is saved with your booking, so we know which outreach worked. The booking calendar is provided by Calendly, which sets its own cookies when it loads. Fonts load from Google Fonts. If you talk to the live receptionist demo, your browser's built-in speech recognition turns your voice into text; some browsers, including Chrome, do that on their maker's servers. Questions typed or spoken to the receptionist may be sent to our language-model provider to write the reply. Don't share anything sensitive there.
What we do with it
- Answer your enquiry and prepare for our call.
- Scope, build and support your systems.
- Send you proposals and invoices for work you've agreed.
- Keep records we're required to keep for tax.
- Contact people at businesses we think we could help, by email or LinkedIn, and follow up a few times at most. We rely on our legitimate interest in telling businesses about relevant services, and you can object at any time.
Outreach to businesses. We sometimes contact people at businesses we think we could help, by email or on LinkedIn, even if they haven't contacted us first. We only do this in your work role, about something relevant to your business, and only a few times. Every email says who we are, includes our postal address, and tells you how to stop hearing from us. Reply "unsubscribe" or use the link in the email, and we'll stop. We act on it as soon as we see it, usually the same day and always within 10 business days, and we add you to our do-not-contact list so it sticks. We never sell your details, and we don't share them with anyone for their own marketing.

If a build needs another service, such as a phone number or an automation tool, we'll name it before we use it, and the account will be yours.
Automation and your information
We build with automation tools, including large language models. Content you provide may be sent to those providers for processing, under business terms that prohibit using it to train their models. We don't send your customers' personal data to them unless a specific build requires it and you've agreed in writing.
How long we keep it
Job files for twelve months after delivery, so we can support what we built. Enquiries that don't become clients, twelve months. Business contacts we've reached out to who don't reply, twelve months from when we collected their details, then we delete them. If you ask us to stop contacting you, we keep only your email address (or company domain) and the date on our do-not-contact list, for as long as we do outreach, so we never contact you again by mistake. Tax records as long as the law requires. Ask us to delete anything and we will, within thirty days, unless the law says we have to keep it.
Your rights
Ask us what we hold, ask for a copy, ask us to correct it, or ask us to delete it. You can also tell us to stop contacting you at any time: reply "unsubscribe" to any of our emails, or email hello@executiveai.company. If you ask us to stop contacting you, we keep only your email address (or company domain) and the date on our do-not-contact list, so we don't contact you again. Email hello@executiveai.company and we'll answer within thirty days. If you're somewhere with specific privacy laws, such as Florida, California, the EU or the UK, those rights apply and we'll honour them.
Children
Our services are for businesses. We don't knowingly collect information from anyone under 18.
Changes
If we change this policy we'll update the date at the top, and tell current clients if the change matters.
