Terms of Service

Short version: every build is scoped and priced for your business. You get a written proposal with a fixed price before any work starts, and nothing is billed that you haven't agreed to.

These terms cover the work Executive Automation ("we", "us") does for you ("the client"). Accepting a proposal or paying an invoice from us means you accept them. They're written to be read, not to hide things.

1. What we do

We're an automation consultancy. We look at how your business runs, find where it loses time and money, then design, build and support the systems that fix it, inside the tools you already use. Work usually runs in three stages: Discover, Build, and, if you want it, Run & improve.

2. Every build is priced separately

No two businesses need the same thing, so we don't sell packages. The intro call is free. After it, we send a written proposal that sets out:

The price in your proposal is the price you pay for that scope. If you ask for something outside it, we'll quote the change in writing first and only do it once you've agreed. Prices for one client or one build don't set the price of another.

3. What you provide

The work depends on you giving us honest numbers, reasonable access to the people who do the work and the tools involved, and answers within a reasonable time. If we're waiting on you, delivery dates move by the same amount.

4. Payment

We invoice through Whop, or another method we agree in writing. Your proposal sets the schedule, typically a deposit before work begins and the balance on delivery. Invoices are due within seven days unless your proposal says otherwise. We don't start a stage until the payment for it has cleared.

Ongoing support, if you choose it, is billed monthly at the rate in your proposal. Cancel any month.

5. Refunds

Our Refund Policy applies to every build. In short: a full refund before work starts, a proportional refund if we can't deliver what we agreed, and no lock-in on ongoing support.

6. Estimates, not guarantees

Every saving, cost and payback figure we produce, including the savings tool on our website, is an estimate built from the information you give us. We don't guarantee savings, revenue, or any business outcome. Decisions you make from our work are yours. Nothing we provide is financial, legal, tax or employment advice.

7. How we build, and where a person stays in charge

We build with automation tools, including large language models from providers such as Anthropic. Content you give us may be processed by those providers under business terms that prohibit training on it.

Anything we build keeps a person in charge of decisions that affect money, hiring, credit or customers. We won't build systems that make those decisions on their own, and we'll tell you plainly what any system can and can't be trusted with. Front-desk systems, such as an automated receptionist, say so when asked and hand off to a person when they should.

8. Who owns what

Once you've paid in full, you own the systems we build for you, the accounts they run on, and the documentation. We keep our own methods, templates and tooling, and may reuse them for other clients.

We won't publish your name, logo or figures as a case study or testimonial without your written permission.

9. Confidentiality and data

We treat what you tell us as confidential. Your data stays in your systems wherever possible, and we ask only for the access a piece of work actually needs. We don't sell your data and we don't use it to train models. We'll sign your NDA if you'd like one.

You're responsible for making sure you're allowed to share the data you share with us, including anything covered by privacy law or by agreements with your own customers.

10. Third-party costs

Systems we build may use third-party services, such as phone numbers, messaging, language-model providers and automation tools. Those accounts are yours and you pay their costs directly. We estimate them in your proposal, and they can change if your volumes change or a provider changes its prices.

11. Liability

Our total liability for any claim is limited to the fees you've paid us in the twelve months before the claim. We're not liable for lost profits, lost data, or indirect losses. Nothing here limits liability that can't legally be limited.

12. Ending the work

Either of us can end the work in writing. You pay for work done up to that point. Ongoing support ends at the end of the month you cancel. If we end the work for a reason that isn't your fault, we refund fees for anything undelivered.

13. Law

These terms are governed by the laws of the State of Florida, and any dispute goes to the courts of Miami-Dade County.

14. Changes

We may update these terms. Changes apply to new proposals, not to work you've already agreed or paid for. If your signed proposal and these terms ever disagree, the proposal wins.
